Main Stage Booking Procedures

First Hold

  • A first hold may be placed on a date for a limited time without a deposit.
  • The first hold is considered a tentative booking only.
  • As soon as a decision is made regarding the date, we request that the office be contacted to confirm or release the hold.
  • Once the office is notified of a decision to use a date, a signed contract and a 50 percent deposit on the base rental must be received for a booking to be fully confirmed.
  • The full rental is due prior to the event unless arrangements are made to settle the day of the show.
  • All deposits and final payments must be made by certified cheque or money order.

Second Hold

  • A second hold may be placed on a date with an existing hold.
  • If the first hold cancels, the second hold will be contacted and offered the space.
  • Should the second hold wish to secure the date immediately, they may challenge the first hold by paying a 50 percent non-refundable deposit. Once this deposit is received, we will contact the first hold and they will have 48 hours to confirm the date by remitting a 50 percent deposit, or release the date to the second hold.
  • If the first hold pays the deposit and confirms the date, then the challenge deposit will be returned. Alternatively, if the first hold declines, then the challenging hold will retain the date.
  • Once the contract is signed, the 50 percent non-refundable deposit will be credited to the final bill.
  • The full rental is due prior to the event unless arrangements are made to settle the of the show.
  • All deposits and final payments must be made by certified cheque or money order.

The Jubilee Auditorium will closely monitor holds to ensure no booking conflicts arise between events of a similar nature.  We will refrain from booking similar events within three weeks of each other unless both clients agree there is no issue with the other event.

Cancellation
If an event is cancelled after a deposit has been paid, the deposit is forfeited along with any incurred or committed expenses.

Insurance
All licensees of the building are required to obtain general liability insurance coverage in the amount of $2,000,000.00 inclusive per occurrence. This insurance is mandatory; and it is necessary that proof of insurance be provided to the Northern Alberta Jubilee Auditorium prior to the event.

SOCAN
The Society of Composers, Authors and Music Publishers of Canada require you to purchase a SOCAN licence if you use copyright music during an event. Payment of SOCAN fees is the responsibility of the licensee.

Ticketing and Front of House Services

Ticketing
Everyone attending an event at the Northern Alberta Jubilee Auditorium, including children of any age, requires a ticket.  All ticketing must be handled through Ticketmaster to ensure a reliable product for our patrons.  An organization can choose to sell event tickets independently but they must be printed by Ticketmaster Custom Tickets.

Ticketmaster leases and operates the Box Office in the lobby of the building. The Box Office is unavailable to licensees whose tickets are not sold through Ticketmaster. Upon request, a table may be set up in the lobby on the day of performance for ticket sales.

Merchandise Sales
The Northern Alberta Jubilee Auditorium collects a merchandise sales commission of 20 percent on all soft goods and 10 percent on recorded material. Licensees are responsible for staffing all merchandise sales.

Food and Beverage Concessions
The Northern Alberta Jubilee Auditorium operates all non-catered food and beverage sales through concessions in the facility. Clients are not permitted to sell any food or beverages on premises.

Front of House Staff
Rentals will include all the necessary front of house staff for events. The Northern Alberta Jubilee Auditorium will schedule ushers, ticket takers, coat check personnel, and coffee and liquor bar staff, based on total ticket sales and the nature of the event.

Security and Medical Attendants
Canadian Corps of Commissionaires provide security and first-aid services at the Northern Alberta Jubilee Auditorium and are located at the Administration Office and the Stage Door. Security or medical requirements beyond this are the responsibility of the client. The Management of the Northern Alberta Jubilee Auditorium may request that you provide additional personnel based on the nature of the booking and history of events that have the potential to pose security or safety concerns to artists, patrons, clients or staff.  In order to comply with the Solicitor General's Office, the Jubilee reserves the right to require all security personnel to sign-in and produce their Security Services License.

Event Catering

Catering
We ask that all clients choose from our list of approved caterers to ensure that your event meets the high quality standards synonymous with the Jubilee. For further detail, please contact Bonnie Roche, Senior Manager, Front of House Operations, at (780) 427-6624 or bonnie.roche@gov.ab.ca.

Bar Service
We offer host or cash bar service, depending on your event needs. We stock premium brands of liquor, domestic and imported beer, champagne, liqueurs, and red and white house wines.

Host bar service: this service allows the client to customise a host bar menu, and offers client guests open bar service for the event. The client is invoiced for each drink consumed. Bartenders are charged out at an hourly rate for a minimum of 3 hours.

Cash bar service: this option allows guests of the client to pay for their drinks at the bar. Bartending service is charged to the client at an hourly rate for a minimum of 3 hours.
